St. Margaret of Scotland Catholic School is seeking a full-time School Receptionist/Front Office Assistant.
St. Margaret of Scotland is seeking a friendly and compassionate receptionist/assistant to work the Front Office for the 2024-2025 school year. This is a full-time position. The role is to assist with the functioning of the school and to serve as a point of contact for all members of the school community. Candidates must exhibit a kind and welcoming attitude, an ability to know or quickly learn multiple systems (FACTS, Google Sheets & Documents, Microsoft Word & Excel, CrisisGo, etc.), and the ability to balance multiple tasks simultaneously while prioritizing the needs of people (parents and children) and duties. See a list of job responsibilities below. Prior executive office manager/assistant experience is a plus.

Duties include, but are not limited to:
- Maintaining a safe environment by allowing access to buildings for known staff and students.
- Greeting all visitors and ensuring they are properly documented before accessing the school.
- Answering phones – taking messages or forwarding calls as needed.
- Making copies for all staff in a timely manner – working with the copy company to order supplies and report service call needs.
- Acting as a defacto school nurse – helping students when injured; dispensing medicine as needed, maintaining proper documentation for medications, and providing students’ medications for teachers to take on field trips.
- Filling out Incident Report forms and sharing them with the administration at the School and Parish Office.
- Assisting students arriving late with tardy slips, taking attendance at the beginning of the day, and updating throughout the day to maintain accurate attendance records.
- Working closely with the administrative team and supporting projects as needed.
- Coordinating spaces for outside consultants with learning lab staff. Maintaining contact info for contracted third-party staff (i.e., speech, occupational, and physical therapists).
- Delivering mail to teacher mailboxes and any dropped-off items to the correct staff or student.
- Keeping track of the location of all staff and students both on campus and off during school hours.
- Relaying all maintenance needs that arise during the day to maintenance staff.
