Guidelines for Events

  • An organization’s coordinator should request meeting space at least five days in advance of their meeting/event (recurring meetings can be scheduled for the school year or the season ahead).
  • To access your meeting space, either contact the parish office at 314-776-0363 for the code to the Canmore Room or come retrieve the key to the Church Hall (Monday thru Thursday 7:30 a.m. – 4:00 p.m. or Friday 8:00 a.m. – 12:00 p.m.).  Clean-up instructions are posted in the Church Hall to help leave the space orderly for other parishioners.  After cleanup, please drop the key off in the Rectory mail slot.
  • Do you have a write-up or reflection on your group’s activities or aspirations? Even better; send it along for the bulletin, e-blast, social media and/or website!
  • Bulletin articles deadline – Mondays by 2:00 p.m.  E-blast items deadline – Wednesdays by 9:00 a.m.  Website and social media items are due 1 week prior to desired post date.  Send all items to parishnews@stmargaretstl.org.
  • Organization/ministry articles or news items will be placed into bulletin/e-blast only once a month guaranteed to allow other ministries the opportunity to place an article for their organization.  Parish events will be placed a minimum of twice.  Community events will be placed only if space allows.  Please keep article/blurbs a maximum of 150 words for bulletin/e-blast.  The website can include more information.  Graphics are helpful.  Please contact parishnews@stmargaretstl.org for full image specs/details.
  • Consider taking pictures at your organization/ministry’s gathering and send them to parish office parishnews@stmargaretstl.org.  We may use these photos in the bulletin which helps us promote YOU and your work, AND invites parishioners to join in your events and services.  Please submit a caption too.
  • Flyers – Have a flyer to publicize your event?  Please bring the flyer to the Parish Office for approval.  If approval is granted, we will post your material on bulletin boards located in the vestibule, landing going toward the church hall and on the back wall of the church hall.  To promote your event successfully, make sure you place the date, time, location, and contact information on your flyer.  We’re happy to share parish gatherings with the St. Margaret of Scotland community!  
  • WeShare Event request must be submitted five business days prior to the date you would like the event live on WeShare (for a WeShare event form contact the parish office at 314-776-0363 or parishoffice@stmargaretstl.org).  QR Code scanning for payment options for an event may be set up as well.  If interested, inquire with the office staff.
  • When purchasing materials for your organization event, using the parish credit card or company cards (e.g. Sam’s, Schnucks, Restaurant Depot), contact the Parish Office at parishoffice@stmargaretstl.org or 314-776-0363 to reserve the card for approved purchases.  Card and tax-exempt letter can be checked out from the parish office Monday through Thursday 7:30am–4:00pm and Friday 8:00am-12:00pm. Don’t forget to submit your receipt when you return the card!
